Business Context

Business Context is the workspace where you teach Every Agent how your business works. It combines written context, uploaded files, Google Drive references, and web links so the agent can answer questions and take action with better business-specific judgment.

Use Business Context for:
  • Business description and positioning
  • Services, products, and pricing logic
  • Target clients and ideal customer profile
  • Internal operating rules or constraints
  • Supporting files and reference links

What Business Context Does

Business Context helps the agent understand what your business sells, how you describe your work, which clients you serve, and what rules or preferences it should follow. This improves invoice and proposal drafting, business Q&A, data analysis, follow-up suggestions, and context-aware recommendations.

Written Context

The written context area is where you describe your business directly. Go to Agent Settings > Context to edit it. Good things to include:
  • What your company does
  • Main services and products
  • Target industries or client types
  • Pricing philosophy
  • Delivery model and process
  • Important rules the agent should follow
Example:
We are a boutique product strategy firm working with B2B SaaS companies.
Our work is usually sold as discovery sprints, roadmap workshops, and
fractional product leadership retainers.

Typical engagements are $5K-$20K. Keep communication concise, confident,
and practical. We prefer clear scope, milestone-based invoicing, and
Net 15 terms for smaller clients.
Write context the way you would brief a new operator joining your company. That level of specificity works well.

Build Context From Your Workspace

Business Context can also be generated from your existing workspace data — clients, financial activity, communication patterns, and workspace structure. Use Build Context when:
  • You are setting things up for the first time
  • Your business has changed materially
  • You want the agent to refresh its broader understanding from recent activity
Building context can replace the current generated narrative. Review the result after it finishes and edit anything that needs tightening.
You can also add files and links the agent should reference. Uploaded Files — Upload PDF contracts, Word proposals, Excel rate cards, CSV exports, images, or text notes directly. Good for standard agreements, pricing sheets, brand guidelines, deliverable templates, and internal playbooks. Google Drive References — Attach live Drive documents so the agent references the current version. Good for living docs, shared templates, team-maintained policies, and frequently updated material. Web Links — Add URLs the agent should reference, like your marketing site, pricing page, services page, or support docs.
Prefer live Drive docs or URLs when the source changes often. Prefer uploads when you want a fixed snapshot.
The agent can search these references when relevant, pull details into responses, reuse consistent language, and reference terms, pricing, and process details. Ask Every Agent:
"Use my service agreement when drafting this proposal"
"Check the pricing sheet before creating that invoice"
"Read the onboarding guide and summarize our implementation steps"

Best Practices

Keep the written context practical. Focus on what the agent should know to make better decisions.
Add source documents for anything you want the agent to reference consistently, such as pricing, terms, or messaging.
Refresh the context when your positioning, pricing, or client mix changes significantly. Review generated context after a rebuild — treat it as a draft to refine.

Troubleshooting

Check: Your changes were saved, files uploaded successfully, links are still accessible, and the context is specific enough to be actionable.Try: Tighten vague sections, re-upload important files, fix broken links or permissions, and ask the agent a task that clearly depends on the context you added.
Check: File format is supported, internet connection is stable, the file is not corrupted.Try: Compress or convert the file, upload a PDF instead of a more complex format, or use a Drive link if the file works better as a live document.

AI Tokens & Usage

Every uses AI tokens to power all AI features, including Every Agent conversations, file processing, client enrichment, and scheduled tasks. Your token balance is made up of two buckets:
  1. Monthly tokens — Included with your plan, reset each billing period
  2. Extra tokens — Purchased separately, never expire

View your token balance, usage history, and buy extra tokens in Settings > Billing.

Monthly Tokens

Every paid plan includes a monthly token allocation that resets automatically at the start of each billing period. Unused monthly tokens do not roll over. You can see your remaining balance and reset date in Settings > Billing.
The Monthly Tokens card in your billing settings shows a progress bar of how much you’ve used, plus the exact date your tokens reset.

Extra Tokens

Extra tokens are purchased on-demand and sit alongside your monthly allocation. They never expire and only kick in once your monthly allocation runs out. Monthly tokens are always used first. Available in flexible amounts starting at $5. To buy extra tokens:
  1. Go to Settings > Billing
  2. Click Buy next to your Extra Tokens balance
  3. Choose an amount and complete checkout

Auto-Recharge

Never run out unexpectedly. Auto-recharge automatically purchases extra tokens when your balance drops below a threshold you set. To enable:
  1. Purchase extra tokens at least once (this saves a payment method)
  2. In Settings > Billing, toggle Auto recharge on
  3. Set your recharge threshold and recharge amount
Auto-recharge is ideal if you rely on scheduled tasks or batch operations that run in the background — it ensures they never get interrupted.

What Uses Tokens

Every AI-powered action consumes tokens:

Different AI models have different token costs. Every automatically selects the most appropriate model for each task to balance quality and efficiency.

When Tokens Run Out

If both your monthly allocation and extra token balance reach zero, AI features are paused. Non-AI features (manually creating invoices, recording payments, etc.) continue to work normally. Scheduled agent tasks will not execute until tokens are restored. To restore access:
  • Buy extra tokens for immediate access
  • Subscribe to a plan for a monthly allocation
  • Wait for your monthly reset if you’re on a paid plan

Tips for Efficient Usage

  • Be specific with agent requests — Clear, detailed prompts get better results in fewer messages
  • Use saved services, products, and templates — Pre-built structure reduces AI generation needs
  • Review scheduled tasks — Make sure automated tasks are set to the right frequency
  • Set up auto-recharge — Avoid workflow interruptions by keeping a buffer of extra tokens
  • Check your usage breakdown periodically in Settings > Billing to understand which features consume the most tokens
